How-to create a non-human NUID account

Objective

Non-human NUID accounts are used to log into workstations that are being shared to provide the capability to use Teams and host other content without having a member use their NUID on the loaner equipment. For example, we will use a non-human NUID account to set up an online meeting at the Podium PC in the Convening stairs so it does not impact someone's NUID account.

Note: Non-Human NUID accounts act as other AD accounts and will be subject to deactivation if the account is not used within 60 days

Procedure

  1. Complete an Operational Deviation request and have it approved by TRO.

  2. Select Get Started
  3. Choose Operational Deviation and Non-user Service Account PasswordSettings. Then click Next
  4. Select Password Reset - Annual Reset
  5. Complete the Operational Deviation Data Gathering form with your business case.

  6. Once the Operational Deviation is approved. You can now create a non-human NUID account with AccessNow. Log in to AccessNow with your SSO Credentials.
  7. In the Manager User box, choose Create Contingent Worker

     
  8. Under the Personal Information boxes. Fill out the sheet as shown. 
    Today's date
    First & Last name you wish to create
    AUTOMATED as the middle name
    Use any free non-KP email address
  9. Under Job Information. Enter the information as shown.
    Workforce Class & Sub Type: Consultant
    Labor Class: IT
    Will the Contingent Worker supervise and be responsible? No
    Job Title: Other
    Other Job Title: Non-Human Business Account
  10. Under the Worker Assignment
    Is worker's assignment via CTMP?: No

     
  11. Under NUID only User 
    Need NUID Only?: No

     
  12. Under SSN or Employee ID
    Employee ID: SIM-02 or higher. New accounts must have an employee ID that is not found in the system
  13. Under Company
    Enter Non-Human in the Company/Agency field

     
  14. Enter Unpaid for the Bill Rate

     
  15. Enter the KPSOM Building address 98 S. Los Robles, Pasadena under Business Address

     
  16. Check the box that ask Will this worker be utilizing a KP computer or telephone.
    Job Position: Full Time

     
  17. Enter the Manager's name of the person keeping track of the Non-Human NUID accounts

     
  18. Enter the same Manager's name for KP Sponsor

     
  19. Check the box for Do you have a KP approved agreement and then enter the approved Operational Deviation number below
  20. Check the box for Use the manager's GL string
    Select Yes for Is this the GL the worker will be billing to?
  21. Enter the Start Date of today's date and end date a day before 2 years (For example, start date of 8/23/24 and end date of 8/22/26


     
  22. Save, review & Submit

Changing Windows Login

We must change the Windows Login information with the Active Roles website. This must be performed so that we don't have to log in with the NUID. Instead, we log in with the new sign-in name.

  1. Open the Active Roles website
    https://ars.kp.org/portal/
  2. Enter the newly created Non-Human NUID in the search box and perform a search
  3. Click on the Account Name
  4. Under the Account tab, change the CS\ login name
  5. In this example, we changed it to SIMCENTER7, then click Save
  6. Also, change the password of the account to a requested or default password
