Print Confidential Documents Securely with Print & Hold

Recommended: For the easiest secure printing experience, we recommend using KP Badge Print — simply send your print job and tap your KP badge at any printer to release it. The methods below are alternative options for secure and stored printing.

 

Print & Hold (also called secure printing) lets you send a document to a campus printer, but holds it there until you physically go to the printer and release it with a PIN. This keeps sensitive documents from sitting in the output tray where anyone could pick them up—perfect for confidential materials, student records, or anything you'd rather not leave unattended.

Here's how to set it up and retrieve your documents.

 Remember your PIN! You'll choose a 4-digit PIN when sending the print job, and you'll need that same PIN at the printer to release your document. If you forget it, you'll need to resend the print job.

Sending a Print & Hold Job

These steps happen on your computer when you're ready to print.

1. Open Printing Properties when printing your document

When you click Print in your application, look for Printing Properties or Printer Properties (the exact name varies by application).

2. Find the Print and Hold tab

In the Printing Preferences window, locate the Print and Hold tab.

3. Enable Print and Hold and create your PIN

Check the box for Use Print and Hold, then enter any 4-digit PIN in the Confidential print field. This PIN is what you'll use at the printer to release your document, so choose something you'll remember (but don't use sensitive PINs like your ATM code).

4. Send your print job

Click OK to save your settings, then click Print File (or Print) to send your document to the printer. Your job is now waiting at the printer for you to release it.

Now head to the printer to retrieve your document. These steps happen on the printer's touchscreen.

5. Access Held Jobs on the printer

On the printer's touchscreen, tap Held Jobs.

6. Find your NUID

The printer will show a list of users who have held jobs. Locate and tap your NUID (your Kaiser Permanente network username).

7. Select Confidential job type

The printer will ask what type of held job you want to access. Tap Confidential (this is the secure Print & Hold option you selected earlier).

8. Enter your 4-digit PIN

Enter the same 4-digit PIN you created in step 3 when you sent the print job.

9. Select and print your document

You'll see a list of your held print jobs. Tap the document you want to print, then tap Print. Your document will print immediately.

Advanced: Job Storage Modes

In addition to the basic Print & Hold method above, campus printers support several job storage modes that give you more control over when and how your documents print.

Creating a Stored Job (Windows)

  1. From the software program, select Print.
  2. Select the printer, then select Properties or Preferences.
  3. Click the Job Storage tab.
  4. Select a Job Storage Mode option:
    • Proof and Hold — Print and proof one copy of a job, then print more copies.
    • Personal Job — The job does not print until you request it at the printer control panel. You can assign a PIN or encrypt the job for security. The print job is deleted from memory after printing and is lost if the printer loses power.
    • Quick Copy — Print the requested number of copies and store a copy in the printer memory so you can print it again later.
    • Stored Job — Store a job on the printer and allow other users to print it at any time. You can assign a PIN or encrypt the job so the person printing must provide credentials.
  5. To use a custom user name or job name, click Custom, then enter the user name or job name. If another stored job already has that name: Use Job Name + (1-99) to append a unique number, or Replace Existing File to overwrite.
  6. Click OK to close Document Properties, then click Print.

Creating a Stored Job (macOS)

  1. Click File > Print.
  2. In the Printer menu, select the printer.
  3. Open the menus drop-down list, then click Job Storage.
  4. In the Mode drop-down list, select the type of stored job:
    • Proof and Hold — Print and proof one copy, then print more copies.
    • Personal Job — The job does not print until someone requests it at the control panel. Requires PIN if set. Deleted from memory after printing.
    • Quick Copy — Print requested copies and store a copy to print again later.
    • Stored Job — Store on the printer for anyone to print at any time. Can require a PIN.
  5. To use a custom user name or job name, click Custom. Choose Use Job Name + (1-99) or Replace Existing File if a duplicate name exists.
  6. If you selected Stored Job or Personal Job, you can protect it with a 4-digit PIN in the Use PIN to Print field.
  7. Click Print.

 Personal Jobs are deleted from printer memory after printing and are lost if the printer loses power. If you need a job to persist, use Stored Job instead.
